JOB DESCRIPTION:

  • Full time, exempt

  • Work in an office setting (at our Issaquah facility), with the possibility of some remote work, if desired

  • Reports to Executive Director

  • Office hours generally 8AM-4PM, though occasional evening and weekend hours may be required with advance notice


COMPENSATION & BENEFITS:

  • $55,000 – $56,200 annual salary

POSITION SUMMARY:

The Office Manager is responsible for managing office and administrative processes and systems. Maintenance of data in our donor database is also a critical component of this role.  The Office Manager will play an important support role for all staff and departments at the Issaquah Food & Clothing Bank.

 

KEY RESPONSIBILITIES:

Administrative Lead:

  • Collaborate with management staff and bookkeeper to maintain financial records and backup documentation.

  • Assist bookkeeper in processing payroll.

  • Research appropriate systems and vendors for supporting the work of the organization.

  • Coordinate scheduling of all-staff meetings and special events.

  • Order office supplies.

  • Organize and maintain organizational documents, including physical files in the office and in SharePoint.

  • Work with IT Project Manager to maintain office and computer equipment, and coordinate with our outside vendor for repairs.

  • Prepare and file annual reports with local and state entities.

  • Monitor incoming correspondence, including postal mail, general email, and phone calls.

  • Assist operations team with gift card management, tracking and reporting.

  • Coordinate new-hire process for new staff members.

 

Donor Database & Development Work:

  • Maintain accounts for donation processing.

  • Enter financial and in-kind donations into database in timely and accurate manner.

  • Prepare and run weekly reports on donations, as well as periodic reports on fundraising campaigns and other donor activity.

  • Reconcile donor database with bookkeeper monthly.

  • Update and edit donor information in an ongoing manner.

  • Coordinate with IT Project Manager on database system backups, feature requests and software updates.

  • Document procedures for database management and reporting processes.

  • Acknowledge donor gifts promptly and appropriately

  • Maintain the pledge follow-up process including employee matching.

  • Coordinate Employee Giving Campaign solicitations.

  • Maintain current email lists in Constant Contact.

 

Board of Directors Support:

  • Assist Executive Director in responding to requests for information from Board members.

  • Assist with maintaining files and documents for the Board of Directors.

  • Support onboarding of new Board members, including issuing email accounts and training members on their use.

  • Assist with scheduling Board meetings and other events.

 

General:

  • Actively participate as a positive member of the Issaquah Food & Clothing Bank team, including attending and contributing to staff meetings and other all-staff events.

  • Respectfully accommodate colleagues’ requests and clearly articulate own needs to perform the duties of this role.

  • Provide as-needed support to operations team when called upon.

 

REQUIRED EXPERIENCE & SKILLS:

  • 2 or more years’ experience in an administrative and/or office management role

  • 1 or more years’ experience with data entry, verification, and reporting in a computerized system

  • Experience with CRM systems or other database experience

  • Ability to work cooperatively in a small office environment

  • Ability to prioritize multiple requests and work independently with minimal supervision

  • Commitment to organization’s mission

  • Excellent verbal and written communications skills

  • High degree of accuracy and attention to detail

  • Strong organizational skills

  • Proficiency with MS Office applications (Word, Excel, Teams, Outlook, SharePoint)

  • Competency with general office equipment and proficient computer knowledge

  • Ability to relate well to individuals of all backgrounds and socio-economic levels

 

Additional Desired Education & Experience:

  • Associate’s or bachelor’s degree and two years of related experience preferred

  • Working familiarity with QuickBooks

  • Experience processing payroll

  • Experience working in a small nonprofit environment

  • Experience with IT systems management and troubleshooting

  • Experience producing customized and detailed Excel reports

  • Experience with planning and supporting large events

  • Experience in nonprofit fundraising, including one or more of the following: managing a matching gifts program, employee giving campaigns, special events, and issuing gift receipts
